Vidym is a product of Espy Technologies ("Vidym", "we", "us"), which provides school management software to schools ("Customers"). This policy explains what personal data we process, why, and the choices available to you. It applies to this website and to the Vidym application and parent app.
When a school uses Vidym, the school decides what student, parent and staff data is entered and how it is used; the school is the data fiduciary for that data and Vidym processes it on the school's instructions. For enquiries made through this website, Vidym is the data fiduciary.
To respond to enquiries and arrange demos; to provide the Vidym service to Customers and their parents, teachers and students; to send service notifications (such as attendance or fee alerts) on the school's behalf; to secure, support and improve the service; and to meet legal obligations such as tax invoicing.
Student data is entered by schools with the consent of parents or guardians obtained by the school. We do not use student data for advertising or profiling, and we do not sell personal data to anyone.
We share data only with service providers needed to run Vidym — cloud hosting, payment gateways (for online fee payment), SMS/email/WhatsApp gateways where a school enables them — under contracts that restrict them to our instructions; and where the law requires.
Data is hosted on secured cloud servers in India, transmitted over encrypted connections, backed up daily and protected by role-based access so each login sees only what it needs.
School data is retained for as long as the school remains a Customer and for a reasonable period afterwards to allow export, unless the school requests earlier deletion. Enquiry data is kept for up to 24 months.
You may ask to access, correct or erase your personal data, or withdraw consent, by writing to the address below. Parents and students should first contact their school, which controls their records; we will assist the school in responding.
